Maintain multiple permissions

Manager users in the Advanced Authors role can change permissions for all documents in a folder at once, instead of by individual document.

Maintain multiple permissions

When the folder tree is displayed.

  1. Select a folder.

    Note: You can set owner permissions on a document but not a document folder.

  2. Select Details & Actions > Mass actions > Mass permissions to display the Mass permissions pane.

  3. Select the desired check box options:

    • Readers: Users who can read the folder and its contents in Viewer Viewers are users with Read-only access to documents. They can access documents and submit feedback to editors

    • Writers: Users who can write to the folder and its contents in Manager.

    • Owners: Users who will receive feedback and notifications related to the folder content.

    • Permissions administrators: Users or roles who can set permissions to the content of the folder in Manager.

    • Replace existing roles: If you do not select this check box, any roles/users assigned are added to the existing permissions.

      Tip: Do not select this box unless you are the user or you are in a role that is being given permissions. If you do not, you could 'lock' yourself out of being able to change any settings or content of the folder.

  4. Go to Maintain roles/users.

You do the following from the Mass permissions pane:

Note: You can only set one user or one role at a time. To add additional users or roles to mass permissions, save your initial mass settings and repeat the step.

Set mass read permissions

To set a User:

  1. Click Add user to readers to display the User selector window.

  2. Select a user.

  3. Click Add user(s).

To set a Role:

  1. Click Add role to readers to display the Role selector window.

  2. Select a role.

  3. Click Add role(s).

Set mass write permissions

To set a User:

  1. Click Add user to writers to display the User selector window.

  2. Select a user.

  3. Click Add user(s).

To set a Role:

  1. Click Add role to writers to display the Role selector window.

  2. Select a role.

  3. Click Add role(s).

Set mass owner permissions

To set a User:

  1. Click Add user to owners to display the User selector window.

  2. Select a user.

  3. Click Add user(s).

  4. Click Save.

    Manager saves your permission changes.

To set a Role:

  1. Click Add role to owners to display the Role selector window.

  2. Select a role.

  3. Click Add role(s).

  4. Click Save.

    Manager saves your permission changes.

Set mass permission administrators

To set a User:

  1. Click Add user to permissions administrators to display the User selector window.

  2. Select a user.

  3. Click Add user(s).

  4. Click Save.

    Manager saves your permission changes.

To set a Role:

  1. Click Add user to permissions administrators to display the Role selector window.

  2. Select a role.

  3. Click Add role(s).

  4. Click Save.

    Manager saves your permission changes.
